Donor Privacy Policy

Pine Tree State 4-H Foundation respects the privacy of its donors and has put in place a Donor Privacy Policy to honor your rights.

Pine Tree State 4-H Foundation collects and uses personal information such as: name, address, telephone number, and e-mail address when a donor voluntarily provides it to us. This information is kept on file for IRS purposes and is also used in our development and communication activities.

Pine Tree State 4-H Foundation does NOT sell, trade, or share its donor list with any other organization. Pine Tree State 4-H Foundation never sends out mailings on behalf of other organizations. To protect the privacy of our donors and their special relationship with the Pine Tree State 4-H Foundation, we maintain the following policies:

  • We do not trade our donor lists with other organizations.

  • We do not sell our donor lists to other organizations.

  • We will contact donors prior to listing their names in our publications to solicit their consent and their preferred listing.

  • We offer donors the option to be recognized anonymously.

  • Donors may request that they not be solicited in the future.

  • Donors may request not to receive mailings.

Financial information

All access to donor financial information is strictly limited to professional staff who need to process those data.

We also recognize that you may wish to limit the ways in which we contact you, so we provide the following options:

  1. Do not contact me by telephone.

  2. Do not contact me by postal mail.

  3. Do not contact me by e-mail.

  4. Do not share my Contact Information with other organizations.

  5. Limit your contact with me to annual mailings only.

  6. Do not contact me or share my information with anyone.

The Pine Tree State 4-H Foundation will annually write new and continuing donors with option to change their privacy options as listed above.

Access

Upon request, we will provide you with the Contact Information that we maintain about you. The description will be sent via postal mail, which we believe is the most secure method of communication. To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we strive to maintain physical, electronic, and administrative safeguards. Your data is stored in password-controlled servers where our professional staff is located. Contact Information can only be accessed by designated Pine Tree State 4-H Foundation employees. Our staff is educated about the importance of safeguarding your information, and is bound by a confidentiality agreement.

The Donor Bill of Rights

Philanthropy is based on voluntary action for the common good. It is a tradition of giving and sharing that is primary to the quality of life. To ensure that philanthropy merits the respect and trust of the general public, and that donors and prospective donors can have full confidence in the nonprofit organizations and causes they are asked to support, we declare that all donors have these rights:

I. To be informed of the organization's mission, of the way the organization intends to use donated resources, and of its capacity to use donations effectively for their intended purposes.

II. To be informed of the identity of those serving on the organization's governing board, and to expect the board to exercise prudent judgment in its stewardship responsibilities.

III. To have access to the organization's most recent financial statements.

IV. To be assured their gifts will be used for the purposes for which they were given.

V. To receive appropriate acknowledgement and recognition.

VI. To be assured that information about their donation is handled with respect and with confidentiality to the extent provided by law.

VII. To expect that all relationships with individuals representing organizations of interest to the donor will be professional in nature.

VIII. To be informed whether those seeking donations are volunteers, employees of the organization or hired solicitors.

IX. To have the opportunity for their names to be deleted from mailing lists that an organization may intend to share.

X. To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers.
