Gamers' Guild

Preamble:
We, the Gamers’ Guild, being an officially recognized club on the Orono Campus
of the University of Maine do hereby propose a Committee, which shall vote on
decisions regarding the activities of the Guild, set up gaming-related events
over the course of the academic year, and administer a network to facilitate
communication of interested parties. This network will serve the students of the
University of Maine by providing a network of people with a common interest in
role playing, the playing of video, board, and card games, and any other games
not mentioned within these documents, such that they can more easily interact
with one another. The Gamers’ Guild will promote the positive social activity of
gaming in the campus community. The Committee and its elected officers pledge to
provide a directory of all members each semester.
Part 1
General
1.001: Guild Membership - Those voicing interest in and active participation with
the Gamers’ Guild shall be deemed members.
1.002: Dues - No fee shall be charged.
1.003: Membership Duties:
A. Vote on decisions affecting activities of the Guild.
B. Elect officers from their own members.
C. Set up game-related events throughout the year.
2.001: Voting - Officers remain members in respect to voting. With exception of
the founding meeting, all members must attend the meeting prior to that in which
a vote is held or forfeit their vote, for the current meeting. Officers retain
voting privileges at all times.
2.002: Elections - Elections will be held during the second meeting of each Fall
semester to determine officers. The elections will determine officers for the
academic year.
2.003: Ratification - Decisions regarding addition of clauses, articles, or
amendments to these articles require a 2/3 vote by the members of the Guild in
attendance with a majority of the officers' approval. Normal activities, which
do not change the structure of the organization or its members, require only a
majority vote.
2.004: Impeachment - Should an officer's actions result in damage to the Guild
or should it become necessary for any reason to remove an officer from a post,
the advisor's signature and a 4/5ths vote from the members in attendance is
required. Ample warning shall be given in advance so those interested may
attend. In the event of an officer having been impeached, a new officer shall be
elected to the vacated office as soon as reasonably possible.
3.001: Officers - Officers will be named during elections to run the Gamers’
Guild. Officers shall be elected from the general membership.
3.002: President - Acts as figurehead. Calls meetings to order, presents
proposals to the committee for vote. Represents the Guild to the student
government, etc. Acts as tiebreaker in votes. Chairs meetings. Signature
required for movement of funds. Must call for elections second meeting of each
Fall semester. President may retain his office unless the members vote a new
president into office during the elections or the current president is
impeached.
3.003: Vice-President - Acts as assistant to President. Assumes role of the
President when the President is unable to attend a function.
3.004: Secretary - The secretary shall keep minutes, notes, etc. of meetings and
decisions by the Committee.
3.005: Treasurer - The Treasurer shall be in charge of the financial records of
the guild and will be held responsible for a current and accurate account of
funds. One of two signatures required for dispersal of Guild funds, the second
being the signature by the president.
4.001: Guild Council - The four officers: President, Vice-President, Secretary
and Treasurer are responsible to report to the Guild members. These four
officers together guide the members, by acting as a special council to draft
proposals for presentation to the members. The source of proposals can be from
any member of the Guild, but must be developed and clarified by the council so
that its full intent and extent can be examined in the most expedient manner
possible, before going to general vote by the members.
5.001: Advisor - A member of the faculty or staff of the University of Maine
shall be found each academic year to act in the capacity of advisor, as required
by the University of Maine guidelines for student organizations.
6.001: Disclaimer - The Gamers' Guild is not responsible for functions or
actions of members or other individuals when said functions or actions are not
sanctioned by the Guild as positive social activities. If the disclaimer is
broken during a Guild activity or in the name of the Guild, the Guild and/or
Council shall reprimand that member accordingly.
7.001: Technical Assistant - The Guild appoints an officer from its members to
act as a technical advisor to assist with the creation and upkeep of a web page.
This position is not considered an officer, but is considered a specialist
advisor.
