Benefits of Using a Copier as a Printer
Introduction
This handbook is for your convenience and will guide you in accessing
Imagistics service department, supply department, and key contract
representatives. Feel free to make notes throughout the handbook for
your reference.
The Imagistics/University of Maine
cost-per-copy program is a 5 year contract beginning January 1, 2004 and
ending 12-31-2008. The contract is coordinated through the University of
Maine Purchasing Department. It includes the following:
Replacement of current copiers. There
is no monthly lease or rental fee associated with this replacement.
Your cost-per-copy is .017 regardless
of the number of copies you make. Cost for networking equipment is
included. Your account will be debited by journal voucher on a monthly
basis.
All equipment and accessories: copier,
document feeder, sorter, stapler, stand, etc.
All supplies with the exception of
paper and staples.
All parts and service
Annual End-User Survey: your
opportunity to give us feedback on the program, the equipment, and
services.

To ensure prompt response for all equipment under this program, we are
providing the University with 1dedicated service technician.
When you place a service call, a technician will call you within 30
minutes to confirm that your service call has been received. The
technician will tell you when he/she will be there. All service calls
should be completed within 8 business hours after you place the call,
i.e., your copier should be working.
Loaners: If, by chance your copier is not operational within 8 hours and
you would like a loaner, one will be provided. You just need to ask your
service technician to provide one. Loaner equipment may not be the same
model as your copier, but you will be able to produce copies.

Training

Imagistics will coordinate new equipment installation and training with
you. Generally this happens at the time your new equipment is installed
and no later than 2 business days after.
Your cost-per-copy includes unlimited
training throughout the term of the contract. If, at any time, you feel
you need additional training (new employees, expanded use of the copier
features, etc.) please call us.
We encourage every department to
dedicate 1 staff person (or more than 1 person) to be the "Key
operator". The key operator will have a more extensive and detailed
training session, and will be able to assist others when necessary.

Supplies

You should always have at least 1 extra bottle of toner and 1 sleeve of
staples for your copier on hand.
Toner: When you order toner, Imagistics
will ship 2 bottles at no charge. Imagistics will have a supply of toner
in the Bangor office so your order may be delivered by the technician
instead of shipped.
If you find yourself in an emergency
situation without toner, call your service technician. He/she will make
every effort to get you a bottle immediately.
Empty cartridges/bottles may be put
into the regular blue or green paper recycling bins in your office or
copier room. You do not need to repackage the cartridges/bottles in
their original boxes. The recycled paper is collected in clear plastic
bags by your custodian and placed outside the building for pick up by
the recycling program staff. The recycling staff will collect the bags
and separate out the cartridges from the paper and Imagistics will
collect them from the recycling office at Facilities Management. . Off
campus locations may drop off cartridges/bottles to the Depot at
Facilities Management at UMaine.
Staples: Since staples are not included
in the cost-per-copy, you will need to order them separately. Copier
Models IM3510, IM4510, & IM4720 use staple #794-4 and the cost is $66.
Copier Models IM6530 and IM8130 use staple #847-3 and the cost is $80.
If a supply order is placed by 1 p.m. you should receive it, via UPS,
the next business day. If by chance you do not receive your order within
2 business days, call your supply representative.

Networking

As you are aware, the copiers can be connected to your computer network
so you can print directly from your computer. Some models offer fax
and/or scan options for a small upcharge. The cost for networking (print
only) is included in your .017 cost-per-copy.*
If you are interested in having your
copier connected, please contact David Rouleau for information. It is
important that you include your department head and computer network
technician in networking decisions.
Imagistics has full-time systems engineers to assistance the University
with networking.

*Although networking
(print) is included in the cost per copy there may be additional labor
charges should you encounter time consuming problems which are the
result of University network issues and not copier hardware/software
issues. The cost for labor is $110/hour (1st hour at no charge). To
network your copier you will need to install a data jack. To have the
jack installed please contact Telcom. To activate the jack please
contact IT or UNET (whichever one is your network provider). The monthly
cost for the jack is approx. $7. All cost for Telcom and IT or UNET are
the responsibility of the Department.
