Finding a work-study job - When you find a job - Entering your Hours - Getting paid - W4 & I9 Forms - Employment eligibility FINDING
A WORK-STUDY JOB If you would like to work for a specific department or person, contact them right away. Ask if they have any Work-Study positions available. If not, ask if they know of anyone with a job opening related to your interests. Feel free to investigate any off-campus, nonprofit organizations, but do keep in mind that all off-campus organizations MUST BE NONPROFIT to be eligible to participate in Federal Work-Study Program. If you do find a job at an off-campus agency, please contact our office. We have additional paperwork for all off-campus employers. Your Academic Work-Study allotment is to be earned beginning Sunday, September 2, 2007 and ending Saturday, May 10, 2008. DO NOT WORK BEFORE September 2, 2007, OR after May 10, 2008. You can work up to 20 hours per week. If you earn more than your total Work-Study award, Student Financial Aid may have to reduce your Academic Year 2007-2008 aid to offset the over earnings, so keep track of how much money you earn. (Your earnings will show on your check stub). THE STUDENT EMPLOYMENT AUTHROIZATION FORM Before you begin work, you and your employer MUST complete the Student Employment Authroization Form. You and your employer must sign and date it and return it to Student Employment as soon as possible. This form is used to submit your job information to the student payroll system. The Student Employment Authorization Form needs to be in before you start working. You will not be paid until this form is completed and turned into our office, so take care of this as soon as you locate a job. If you have more than one Work-Study job, you will need a separate authorization form for each job. These are available at the Office of Student Employment. Ask your employer how they would like you to record time. In most cases, you’ll be asked to enter time online using the Maine Street application (formerly known as PeopleSoft). Before you can record time, you’ll need an account from UNET. This is different from your First Class account and if you do not already have an account, one will be created for you. You then will need to call UNET at 561-3587 to activate the account and create your password. After you have your account, you need to logon to the Maine Street website at www.maine.edu. Click on “Current Student”, then “Student Access” under the Maine Street heading; enter your login and password. Click on Employee Self Service, Report Time and Punch Time. You then need to enter the actual punches IN and OUT of when you worked. Help with using the Maine Street system is available on a separate brochure, by using the quick reference links when you are in the system, or by visiting http://www.umaine.edu/hr/PeopleSoft. Enter your time regularly, daily if possible. Time that is entered on or after the approval date (check the payroll schedule: http://www.umaine.edu/hr/payroll) will not be paid until the following pay period. It is your responsibility to make sure your time is entered correctly. Student check stubs are mailed directly to your job site. The Studnet Employment Authroization Form provides a space for your work address, so Student Payroll knows where your check stub is to be sent. This address should be a campus work address (NO DORM OR HOME ADDRESSES, PLEASE). If you work for an off-campus facility, other arrangements can be made through Student Payroll, contact them for more information. All of your earnings for each pay period will be included in one check. If
you have more than one Work-Study job, please specify which employer you would
like your check stub sent to.
